Who is FigureLane for?

Small businesses and sole traders organising their own receipts, bank statements and invoices, plus bookkeeping firms preparing records for multiple clients. Every business has separate monthly workfiles. You do not need to be a bookkeeper to use it.

How do we get started?

Choose My business or A bookkeeping firm when creating your workspace. Business signup includes your business and first monthly folder; firms add their clients after signup. Set the checklist, then upload files directly or share an upload link. You can also explore a sample workfile.

What files can we upload?

PDF, JPG, PNG, CSV and TXT files are supported, with up to 10 files per upload and 15 MB per file. Clear originals give better results. Scanned PDFs and photos are read on the server; incomplete or uncertain extraction needs review.

Does someone sending paperwork need an account?

No. Share a monthly upload link with a client or someone helping with your business paperwork. Anyone holding the link can send files and read and answer that folder’s questions, so share it only with intended recipients. It does not provide access to your private workspace or original-file downloads.

What checks does FigureLane make?

FigureLane flags repeated uploads, wrong-month documents, missing items from your checklist and statement balances that do not agree. Receipt matches are supporting suggestions for you to confirm.

Can we trust every extracted figure?

Review the results against the originals before approving them. Document quality and layout can affect extraction, and suggested receipt matches can be uncertain. You can correct dates, descriptions, amounts and balances in the workspace.

Can I keep sales and account records here?

You can keep sales invoices, receipts and bank statements together, review income and expense rows from statements and export monthly records. This version does not create invoices, track unpaid sales or provide a full accounting ledger, financial statements or tax filing.

Does this replace our accounting software?

FigureLane prepares records for you or your bookkeeper and exports an Excel workbook or bank CSV. Keep your accounting software for the full accounts. Check its required import format before importing.

What can we export?

Download a draft Excel workbook during preparation. After the month is approved, download the approved workbook or bank CSV. Exports include links to the original documents; opening those originals requires signing in to the owning workspace.

Can we change currency?

Choose from over 50 currencies, including USD, GBP, EUR, CAD, AUD, INR and JPY during business signup, when adding a business or client, or in their settings. New businesses and clients default to USD. Currency locks once documents or financial records exist, so existing amounts cannot be relabelled. FigureLane does not convert currencies.

How long does an upload link last?

An upload link lasts 14 days. Generate a replacement for that monthly folder to revoke the previous link. Keep links private because they also display the folder’s questions and existing answers.

Are documents sent to an external AI service?

Document reading runs on the FigureLane server using locally installed PDF and OCR tools. This version does not send documents to an external OCR or AI service.

Where are my documents stored, and who can access them?

Original documents and extracted records are stored on the FigureLane server’s persistent storage. Sign in to your workspace, open the business and monthly folder, then preview or download an original. Access is checked against the workspace that owns it. Upload links let recipients send files and answer questions; they do not allow downloads of private originals. Documents remain until removed, and authorised service operators may access stored data for maintenance or recovery.
