Set up your collection address

Collection uses email forwarding. FigureLane does not connect to your Gmail or Outlook inbox or read unrelated mailbox messages. Keep the collection address private: anyone with it can send documents to this business.

  • Create your account, verify your email and open your business workspace.
  • Open Settings → Email collection. Choose Expenses for purchase receipts or Income for sales invoices.
  • Authorise automatic imports and choose Enable email collection. Copy your business’s address.
  • Set up forwarding rules for selected supplier emails, or ask suppliers to send their receipts and invoices straight to that address.
  • If Gmail asks you to confirm forwarding, open the Google confirmation shown in Email collection, then finish setting up your email filter.

New paperwork reaches your draft report

FigureLane saves incoming documents privately, even when your browser is closed. PDFs and photos are read automatically when you open your workspace; keep the tab open until reading finishes. CSV and plain-text receipts are read on arrival. Originals stay with the extracted records, and repeated attachments reuse the existing document.

Recent emails in Settings show what was received, read or needs attention, including imports that failed. Review dates, amounts, categories and business use in Documents. Reading does not approve a record; unfinished reports stay marked DRAFT. Download Excel, PDF or a ZIP pack from Reports when you are ready.

Send supported financial documents

Send PDF, JPG, PNG, UTF-8 CSV or text attachments. When an email has no attachments, FigureLane can read the plain-text receipt in its body. Embedded logos are ignored. Send receipt images as file attachments. HTML-only messages and invoices available only behind a supplier link need a supported attachment or manual upload.

Each email supports up to 10 attachments, with 15 MB per file and 20 MB for the entire email. Up to 100 emails per business are accepted each day. Your existing document, processing and storage allowances apply, including the free sample of 10 document uploads total.

Keep control of collection

Pause collection in Settings when you want it to stop accepting new email documents. Documents already imported stay in your workspace. Resume when you are ready.

Replace the address if it has been shared accidentally. The old address stops working, so update your forwarding rules and supplier contacts. You can still upload documents and create invoices in the workspace.

Common questions

Do I need to keep FigureLane open?

Emails are collected while FigureLane is closed. Open your workspace to read saved PDFs and photos automatically, and keep the tab open until reading finishes. CSV and plain-text receipts are read on arrival. Workspace uploads and connected-app imports of PDFs and photos also use browser reading.

Will my figures be approved automatically?

No. Email imports are saved as unapproved records. Check the originals and correct any uncertain readings before approving your figures or using the report.

Does email collection require MCP?

No. Email collection runs independently. MCP lets a connected AI app work with records you authorise and propose changes for approval in FigureLane.
