What to put on a landscaping invoice

  • Your business details and the customer’s name and property address.
  • Recurring visits with the dates or number of visits in the period.
  • One-off work such as hedge trimming or clearance, by hour or by job.
  • Plants, mulch, gravel or turf by quantity.
  • Green-waste disposal or tip charges.
  • Tax, deposit paid, amount due and payment details.

Create it online or in Excel

FigureLane’s free invoice generator makes a PDF with your lines, tax and any deposit deducted, and saves it in Income with your receipts. It counts in your reports once you mark it paid.

Prefer a spreadsheet? Download the Excel template above and fill the yellow cells; it works out the amount due.

Bookkeeping for landscapers and gardeners: what to keep

  • Fuel: for mowers, trimmers and the van. Keep pump receipts even for small amounts.
  • Equipment: purchases, servicing and blade sharpening.
  • Plants and materials: nursery and supplier receipts, matched to the jobs they went to.
  • Disposal: tip and green-waste charges.
  • Seasonal cash flow: note which months have lower income so your accountant sees the pattern.

Recurring customers and subcontractors

  • Invoice regular customers monthly with the number of visits, rather than one invoice per mow.
  • In the UK, hard landscaping for a contractor may fall under CIS; routine garden maintenance for homeowners does not. Check with your accountant if you do both.
  • In the US, if you pay helpers as contractors, the IRS asks for a 1099-NEC once you pay one $2,000 or more in 2026.

A ten-minute monthly routine

  • Forward emailed receipts and supplier invoices to your FigureLane collection address as they arrive.
  • Photograph paper receipts on the day and upload them.
  • Mark invoices paid when the money lands.
  • At month end, check each figure against its original, then download an Excel or PDF report and a ZIP of originals for your accountant.

Common questions

Should I invoice recurring garden visits monthly?

Monthly invoices with the number of visits keep paperwork down for you and the customer. Note any missed or extra visits on the same invoice.

How do I charge for green-waste disposal?

Put it on its own line by load or bag, and keep the tip receipt as the cost behind it.

Can I use FigureLane’s invoice generator instead of Excel?

Yes: it creates a PDF with your line items, one tax rate and any deposit already paid, and saves it in Income until you mark it paid.

Is this landscaping invoice template free?

Yes. Download and reuse it without an account. FigureLane’s invoice generator and 10 document uploads are also free to try, with no card.
