What to put on a cleaning invoice

  • Your business details and the customer’s name and the address cleaned.
  • Regular visits with dates, hours or a fixed price per visit.
  • Deep cleans, move-out or end-of-tenancy cleans as separate lines.
  • Add-ons such as oven, fridge or window cleaning.
  • Supplies, if your agreement says the customer pays for them.
  • Tax, deposit paid, amount due and payment details.

Create it online or in Excel

FigureLane’s free invoice generator makes a PDF with your lines, tax and any deposit deducted, and saves it in Income with your receipts. It counts in your reports once you mark it paid.

Prefer a spreadsheet? Download the Excel template above and fill the yellow cells; it works out the amount due.

Bookkeeping for cleaning businesses: what to keep

  • Cleaning products and equipment: vacuums, mops and their replacements.
  • Travel between clients: fuel, mileage, parking and public transport.
  • Staff or subcontractors: wages, or contractor invoices and 1099 records in the US.
  • Insurance: public liability and, if you hold keys, key cover.
  • Uniforms and laundry, if your business provides them.

Regular clients and staff

  • Invoice regular clients monthly with each visit listed, so missed or extra visits are visible.
  • Keep cancellations and lock-out charges on their own lines.
  • In the US, if you pay cleaners as contractors, the IRS asks for a 1099-NEC once you pay one $2,000 or more in 2026; collect a W-9 first.

A ten-minute monthly routine

  • Forward emailed receipts and supplier invoices to your FigureLane collection address as they arrive.
  • Photograph paper receipts on the day and upload them.
  • Mark invoices paid when the money lands.
  • At month end, check each figure against its original, then download an Excel or PDF report and a ZIP of originals for your accountant.

Common questions

Should a cleaning business charge per hour or per visit?

Either works if it matches what you agreed. Per-visit pricing is simpler for regular homes; hourly suits deep cleans and commercial work. The template supports both.

Can I charge clients for cleaning supplies?

Yes, if your agreement says so. List supplies on their own line and keep the receipts behind them.

Can I use FigureLane’s invoice generator instead of Excel?

Yes: it creates a PDF with your line items, one tax rate and any deposit already paid, and saves it in Income until you mark it paid.

Is this cleaning invoice template free?

Yes. Download and reuse it without an account. FigureLane’s invoice generator and 10 document uploads are also free to try, with no card.
