Convert financial PDFs to Excel
FigureLane converts financial PDFs into extracted records you can check, then exports a native Excel workbook (.xlsx). Use it for receipts, invoices and bank statements when you need income, expenses and source links in a consistent table. The workbook is generated from financial records; it does not preserve arbitrary PDF tables, page layouts or invoice line-item layouts.
Choose a financial PDF to convert
Start with a receipt, sales invoice, purchase invoice or bank statement for one business. A PDF with selectable text is usually easier to read than a blurred scan. Keep every relevant page and use a straight, clear scan when the original is paper.
FigureLane also accepts JPG and PNG receipt photos, bank CSV and TXT files. If your goal is to preserve a brochure, contract or arbitrary table exactly as it appears in a PDF, this financial reporting workflow will not provide that conversion.
Upload, review and download Excel
You can upload throughout the year. Document month filters the document list by its source dates, while the report date range is chosen separately in Reports. Files without a usable date are available under Date to check.
- Create an account, verify your email and open your business in Documents.
- Choose Income for sales, Expenses for purchases, Mixed for both, or Bank statement for bank rows. Upload the PDF and keep the page open while reading finishes.
- Compare dates, descriptions, amounts and currency with the original. Correct uncertain fields, choose categories and business portions, and confirm supporting-document matches.
- Open Reports, choose the date range and select Excel spreadsheet (.xlsx). Keep unresolved work visible; unfinished reports are marked DRAFT.
What appears in the workbook?
The exported workbook contains record details and summaries, with an income statement when income is included. It is an editable Excel file, not an image of each PDF page.
| Field or sheet | What to check |
|---|---|
| Date and description | Compare with the source; confirm day and month order and correct unreadable text. |
| Amount and currency | Check the sign and currency. FigureLane does not convert exchange rates. |
| Type and category | Confirm income, expense, transfer or exclusion and the category that reflects your records. |
| Business use and business amount | Check the percentage you chose and the amount it produces. It is a preparation choice, not a tax decision. |
| Review status, notes and source links | Keep unresolved work visible and confirm who can access the private originals. |
| Income statement and monthly summary | Compare revenue, business expenses and profit with the reviewed records for the selected range. |
Inspect a sample before uploading
This fictional Harbour Studio example has one sales invoice and two expenses. Its GBP 300.00 revenue less GBP 68.00 business expenses gives GBP 232.00 profit before tax. The workbook is generated by the same export code as the workspace; review remains DRAFT.
Compare the editable workbook with the source text and PDF report. The example demonstrates the output format, not guaranteed extraction accuracy for your files.
Limits that affect PDF reading
The hosted workspace reads PDFs and photos in your browser. Originals and extracted records are saved in the private workspace; files are not sent to an external OCR or AI service.
- Upload up to 10 files per batch, at most 15 MB per file.
- Each PDF can contain up to 20 pages, including at most five scanned pages. Split longer files before uploading.
- English OCR reads scanned pages and photos. Poor scans or unusual layouts can need correction.
- A successful reading status does not mean the figures have been approved. Check extracted records before using the export.
Free sample and monthly uploads
The free sample includes 10 document uploads and 50 processing units total, with no expiry or card required. It does not renew monthly. A PDF page uses one processing unit, so a multipage PDF consumes one document upload and several units.
Starter and Pro have monthly upload allowances. Your upload month controls allowance usage; the date on the document controls the month filter. See Pricing for current limits and checkout availability.
Common questions
Can I convert a scanned PDF to Excel?
Supported scanned financial PDFs can be read with English OCR, with at most five scanned pages per file. Check the extracted fields against the original; a clear scan does not remove the need for review.
Is the Excel download a CSV file?
No. The Excel option produces a native .xlsx workbook with sheets and numeric cells. Records CSV and bank CSV are separate export choices.
Does PDF to Excel conversion preserve every table and invoice line item?
No. FigureLane extracts supported financial fields and bank rows, then creates its own records and report layout. It does not promise general table extraction or an exact copy of the PDF layout.
