Roofing invoice template
A roofing invoice should price tear-off and installation by the square (100 sq ft), list shingles, underlayment and flashing separately, add the permit and dumpster, and deduct the deposit the homeowner paid. Download the free Excel template; it totals tax, deposits and any CIS deduction. Then keep supplier invoices, permit receipts and insurance paperwork together for your accountant.

What to put on a roofing invoice
- Your business details and licence number, and the homeowner’s name and property address.
- The roof area in squares, and the pitch or number of layers if they affect the price.
- Tear-off and installation as labour lines, priced per square.
- Shingles or other roofing, underlayment, ice-and-water shield and flashing as materials.
- Permit and inspection fees, and dumpster or haul-away for old roofing.
- Extra work found on the day, such as replacing rotten decking, on its own line.
- The deposit already paid, the balance due and the warranty you are giving.
Create it online or in Excel
FigureLane’s free invoice generator makes a PDF with your lines, tax and any deposit deducted, and saves it in Income with your receipts. It counts in your reports once you mark it paid.
Prefer a spreadsheet, or need a CIS deduction shown? Download the Excel template above and fill the yellow cells; it works out the amount due.
Example roofing invoice
A fictional job, in US dollars before tax. The template’s first sheet holds this example; the second is blank for your own invoice.
| Item | Amount |

| Reroofing permit (permit): 1 each × 250.00 | 250.00 |
| Tear off existing shingles, one layer (labour): 22 squares × 75.00 | 1,650.00 |
| Architectural shingles (materials): 22 squares × 140.00 | 3,080.00 |
| Synthetic underlayment and ice-and-water shield (materials): 1 lot × 620.00 | 620.00 |
| Install shingles, flashing and ridge vent (labour): 22 squares × 160.00 | 3,520.00 |
| Dumpster and debris haul-away (disposal): 1 load × 450.00 | 450.00 |
| Subtotal | 9,570.00 |
| Less deposit paid | -3,000.00 |
| Amount due | 6,570.00 |
Deposits, insurance claims and lien waivers
- Take a deposit to order materials and deduct it on the final invoice. Some US states cap the deposit a home-improvement contractor can take, so check your state licensing board’s rules.
- For insurance jobs, match your invoice lines to the adjuster’s scope of work, and invoice any agreed supplement separately so the homeowner can send it to the insurer.
- In the US, many customers and lenders ask for a lien waiver when they pay. Issue a conditional waiver with the invoice and an unconditional one once the payment clears.
- Note the workmanship warranty on the invoice and register any manufacturer warranty in the homeowner’s name.
Bookkeeping for roofers: what to keep
- Roofing materials: supplier invoices for shingles, underlayment, flashing and fasteners, each tagged with the job address.
- Dumpsters and disposal: rental and landfill receipts.
- Permits: permit and inspection fees you pass on to the customer.
- Crew and subcontractors: payroll, or subcontractor invoices with W-9s and 1099 records in the US, or CIS statements in the UK.
- Safety and equipment: harnesses, ladders, nail guns and their repairs.
- Insurance: general liability and workers’ compensation certificates.
Subcontractors, CIS and 1099s
UK: a contractor deducts CIS from your labour lines only, which the template works out, and invoices to VAT- and CIS-registered businesses usually use the domestic reverse charge. US: send a Form 1099-NEC to any subcontractor you pay $2,000 or more in 2026.
A ten-minute monthly routine
Mark roofing invoices paid when the money lands, keep each receipt as it arrives, and check the month against the originals before sending your accountant a report.
Common questions
How do roofers price work on an invoice?
Most price by the square, which is 100 square feet of roof. Showing squares for tear-off, materials and installation lets the homeowner check the invoice against the quote.
Should a roofing invoice show the dumpster and permit separately?
Yes. They are real costs the homeowner can see, and listing them keeps them out of a UK CIS deduction, which applies to labour only.
Can I use FigureLane’s invoice generator instead of Excel?
Yes: it creates a PDF with your line items, one tax rate and any deposit already paid, and saves it in Income until you mark it paid. Use the Excel template if a contractor needs a CIS deduction shown.
Is this roofing invoice template free?
Yes. Download and reuse it without an account. FigureLane’s invoice generator and 10 document uploads are also free to try, with no card.
